For more than a century, Kokuyo Co., Ltd. has been one of Japan's most respected names in workplace furniture, stationery and workspace solutions. As the company strengthened its presence in India through Kokuyo India, one exhibition carried particular importance.
Orgatec India—the Indian edition of the globally renowned workplace design exhibition organised by Koelnmesse.
It wasn't simply another trade fair.
It was the company's opportunity to introduce its brand to the Indian market on one of the industry's most respected platforms.
For a first impression of that scale, every detail mattered.
The
Challenge
Launching in a new market is different from participating in another exhibition. Products can be introduced over time. Reputations are formed much faster. Kokuyo India wanted a space that reflected the values the brand had built over generations—precision, simplicity and thoughtful design—while creating a strong presence at the inaugural edition of Orgatec India.
The project itself presented multiple challenges.The exhibition stand measured over 325 sqm making it one of the largest spaces at the event. The project also included a ceiling rigging structure, something rarely executed at this scale in Indian exhibitions and requiring special technical approvals.
Adding to the complexity was the build schedule. Once possession of the venue was granted, the entire stand had to be completed within just three days. Before construction could begin, however, there was another challenge.Trust had to be earned.
The
Scope
Like many global organisations, Kokuyo followed a rigorous evaluation process before appointing an exhibition partner.
Multiple exhibition companies presented concepts. After several rounds of presentations, Vasant Creative was shortlisted. But the final decision wasn’t made in a boardroom. The team from Kokuyo Japan travelled to India to understand how we actually worked before entrusting us with one of their most important exhibition projects.
They visited our production facility. They reviewed a full-scale mock-up. They inspected construction quality, material finishes and detailing. They observed live exhibition projects under execution to understand whether the quality seen in presentations would be maintained on the exhibition floor. Only after seeing our process firsthand did they move forward with the project. That visit wasn’t simply about approving a design. It was about building confidence before a single component entered production.
The
Execution
Once the project moved into production, every element was designed to reinforce Kokuyo’s philosophy of clean, functional design. The material palette combined wood, metal and fabric, creating warmth without unnecessary ornamentation. Rather than relying on individual branding elements scattered throughout the booth, custom seamless wallpaper graphics created a continuous visual language across the entire space.
One of the project’s most technically demanding aspects was the overhead rigging. Working closely with the organisers and the team at Jio World Convention Centre, Vasant Creative secured the necessary approvals to execute the suspended ceiling elements, adding a stronger architectural presence while maintaining the openness of the stand below.
Despite the scale of the project, the complexity of the rigging and the compressed installation schedule, the entire stand was completed within the three-day build window without compromising the quality of finishes or execution.
For Kokuyo, the experience remained simple, One partner, One project team. One point of responsibility from production through handover.
The
Outcome
Orgatec India became a defining introduction for Kokuyo in the Indian market. The exhibition stand reflected the restraint, precision and understated confidence that have long been associated with the brand worldwide. The project also received one of the exhibition’s highest recognitions—the Excellence Award presented by the organisers of Orgatec India.
Recognition, however, wasn’t the most meaningful outcome. The strongest validation came from the client themselves.

Why it
Mattered
Large exhibition projects rarely become successful because of design alone. They succeed because every stage—from concept development and production to approvals, logistics and installation—is managed with consistency and attention to detail.
For Kokuyo India, this project represented far more than the construction of an exhibition stand. It was the physical introduction of a globally respected brand into a new market.
Our responsibility was to ensure that the experience visitors had at Orgatec India reflected the standards Kokuyo had spent decades building around the world.
