From One High-Stakes Exhibition to a Global Exhibition Partnership
Client
Associate Allied Chemicals is one of India's leading manufacturers of fragrance ingredients, supplying customers across international markets. Along with offices in Delhi, Mumbai and Bangalore, the company has established operations in the UAE, Brazil and the United States, while recently inaugurating a major manufacturing facility in Grasse, France—the historic heart of the global perfume industry.
As the business expanded internationally, so did its exhibition calendar. What began as a requirement for one important exhibition eventually evolved into a long-term partnership spanning multiple cities, countries and continents.
The
Challenge
Sometimes, the most important exhibition isn’t the biggest one. It’s the one that determines who you’ll trust for the next decade. Our relationship with Associate Allied Chemicals began at the FAFFAI Exhibition in Kolkata, 2023
The timing made the project especially significant. After staying away from exhibiting for several years, Associate Allied Chemicals was returning to the industry in a prominent way. They weren’t simply booking another exhibition stall—they were returning as the Title Sponsor, with the largest presence at the exhibition. Senior principals, partners and associates were travelling from different parts of the world specifically to attend the event.
Everything about their return had to reflect the company they had become. The brief sent to participating agencies was surprisingly concise. Create a stall that feels innovative and clean. Behind those six words sat a much larger expectation. The stand had to communicate credibility without appearing excessive. It needed to welcome visitors while supporting serious business discussions. It had to feel premium without relying on unnecessary visual noise.
Like many established companies evaluating an exhibition partner for the first time, Associate Allied Chemicals invited multiple agencies to present concepts. After several rounds of evaluation, Vasant Creative was selected to design and execute the project. Our responsibility wasn’t simply to build a stall. It was to remove uncertainty from one of the company’s most important public appearances in years.
The
Scope
Every design decision served a purpose. Instead of treating lighting as something added at the end, we designed a continuous overhead lighting feature above the central product display walkway. The objective wasn’t merely brightness—it was to create a visitor journey where every fragrance ingredient received equal visual importance while naturally drawing people deeper into the stand.
Business conversations were equally important. Rather than constructing conventional wood-and-glass cabins, we built the meeting rooms entirely with full-height glass partitions. The transparency made the stand feel larger and more open, while still providing the privacy required for commercial discussions. The spaces reflected the openness and sophistication expected from a company operating in the global fragrance industry. One decision that made a significant difference happened long before the exhibition opened.
Before fabrication began, we constructed a complete mock-up of the stall inside our own production facility and invited the client to review it in person. This allowed the leadership team to experience the design at full scale, suggest refinements where required and move into production with complete confidence—eliminating many of the surprises that often appear during exhibition builds. The exterior combined fabric and wood finishes to achieve a refined, understated appearance, while glossy white flooring created continuity throughout the stand and enhanced the overall sense of openness.
Perhaps the most appreciated detail wasn’t visible in the design itself. The stall was handed over ahead of the committed deadline. Instead of rushing product placement and final preparations on the last day, the client’s team had additional time to organise displays, brief staff and prepare for visitors before the exhibition officially opened. Sometimes, peace of mind comes from something as simple as having extra hours when everyone else is still working against the clock.
The
Outcome
The exhibition achieved exactly what it needed to. Associate Allied Chemicals returned to the exhibition circuit with a stand that reflected the quality and maturity of its brand. For Vasant Creative, however, the most meaningful outcome wasn’t immediate appreciation after the exhibition.
It was what happened next. The client didn’t return because of a particular lighting detail, flooring finish or meeting room design. They returned because the experience matched the promise. The design they approved was the design that was built. Timelines were honoured.
Communication remained clear. The mock-up removed uncertainty before production even began. The exhibition opened without unnecessary last-minute stress. When companies participate in exhibitions, they aren’t only investing in structures—they’re investing in reputation. Once that trust is earned, it often extends far beyond a single event. That is exactly what happened.
From One
Project to Multiple Countries
The partnership that began in Kolkata soon expanded into a series of exhibitions across India and internationally. At the AIMA Exhibition in Bangalore, the objective shifted from reintroducing the brand to creating a more immersive product presentation. We developed custom white backlit architectural panels using a combination of metal, fabric and wood construction to achieve a clean, illuminated backdrop. Bespoke coloured glass product podiums were fabricated specifically for the client’s fragrance ingredients, while two premium lounge areas encouraged longer conversations in an open, welcoming environment.
The relationship then moved beyond India to SIMPPAR in Grasse, France. Grasse is not simply another exhibition destination. It is widely recognised as the birthplace of modern perfumery—a place where fragrance is experienced differently. That understanding shaped the entire design philosophy. Rather than creating a structure that demanded attention, we created one that invited conversation. Soft wood textures replaced high-gloss finishes. Muted materials replaced bold contrasts. Open meeting areas encouraged interaction, while natural daylight became part of the exhibition experience as it moved through the stand across the day.
In an industry built on sensory experience, atmosphere often speaks louder than architecture. Only a month later, the partnership continued at the World Perfumery Congress (WPC) in California, USA. The exhibition coincided with the launch of Associate Allied Chemicals’ new US operations, where the company participated as a Gold Sponsor.
Delivering two major international exhibition projects on two continents within a single month demanded coordinated planning, international logistics and consistent execution across different venues, suppliers and timelines. For the client, however, the experience remained simple. One design partner, One project team, One point of accountability. Beyond these projects, Vasant Creative has continued delivering exhibition stalls for Associate Allied Chemicals across Delhi, Mumbai, Bangalore and Kolkata, as well as additional projects in Paris, France.
Looking back, the most significant achievement isn’t that we built exhibition stands in different countries. It’s that a relationship which began as a competitive pitch evolved into an ongoing partnership wherever the client chose to exhibit.
Why it
Mattered
Companies expanding across multiple markets often face an unnecessary challenge. Every new exhibition means finding a new local contractor, explaining the brand again, reviewing another design process, coordinating another production team and hoping the final result matches expectations.
Associate Allied Chemicals chose a different path. Instead of managing different exhibition partners across different geographies, they chose one team that already understood their business, their products and the way they wanted to present themselves to the market. That is the role Vasant Creative strives to play for every client.
Whether an exhibition takes place in Mumbai, Delhi, Bangalore, Kolkata, Paris, Grasse, California or anywhere else in the world, our responsibility remains the same—to provide one point of ownership from design and production through installation, dismantling and post-show support.
Because the real value of an exhibition partner isn’t measured by how many stalls they build. It’s measured by how confidently a client can walk into their next exhibition, knowing everything has already been taken care of. The venue may change, The country may change, The exhibition may change. But the confidence should never have to.
